Turning Slide Decks Into PDF Handouts

Export the deck for the way people will use it. One slide per page is for reading on a screen. Three slides per page with ruled lines is for a workshop where people write. Six slides per page only stays readable when the type is already large. Speaker notes belong in a separate presenter file, because jokes and internal pricing cues travel with the PDF if you leave them on. An 84-slide, 120 MB full-bleed 16:9 deck is hard to download on mobile data, and a printed copy of those full-bleed slides leaves nowhere to write. Shrink the photos inside the deck first, then run the packet through Compress PDF if it still misses the mailbox limit.

A laptop, a pen, and a podium need different export settings. Pick the layout before you send the file.

How to export handouts in PowerPoint, Google Slides, and Keynote

Microsoft PowerPoint (Windows and Mac)

1. Open File → Print (or File → Export → Create PDF/XPS → Options on Windows).
2. Under Settings, change Full Page Slides to Handouts (3 Slides) for ruled note lines, or 6 Slides Horizontal for compact reference.
3. Uncheck Print hidden slides and confirm Print Notes Pages is not selected for the audience copy.
4. Enable Frame slides if your slide background is white so each thumbnail has a clean border on paper.

Google Slides

1. Open File → Print preview.
2. Change 1 slide without notes to Handout: 3 slides per page (or 2, 4, 6, or 9).
3. Check Hide background if dark slide themes would waste toner on office printers, then click Download as PDF.

Apple Keynote

1. Choose File → Print and select the Grid layout.
2. Pick 3 or 4 slides per page, leave Include presenter notes unchecked for attendees, and click PDF → Save as PDF.

Speaker notes and stacked animations

• Speaker notes leak. Before you send any deck outside the team, open the exported PDF and scroll past page 1. Confirm that presenter cues ("skip if short on time", internal pricing notes) are absent. Add a watermark to draft decks if you need one (Client Proof PDF Watermarks).
• Stacked builds flatten. If a slide reveals three overlapping diagrams on click, a static PDF export stacks all three layers on the same page. Duplicate those build states onto separate slides before you export the handout.

File size and the workshop packet

High-resolution background photos (Hero Image Weight Budget) turn slide exports into 80 MB files. Downsample images inside PowerPoint first, then assemble the workshop packet in Merge PDF:

Once the files are merged, run one pass in Compress PDF so the packet clears Email Attachment Limits. Check Printable PDF Margins if the room copy will be hole-punched or spiral-bound (PDF Booklet Printing Order).

Limitations

• Multi-slide grids shrink text hard. A dense financial table that is barely readable on a full 16:9 screen becomes unreadable at 3-up or 6-up on A4 or Letter paper. Print those tables at 1 page each.
• Visual slide grids have no semantic heading structure for screen readers. Provide a plain outline or a tagged document with the handout (PDF Accessibility Basics).

Name the files for the audience: Workshop_Handout_3up.pdf for the room, Workshop_Presenter_Notes.pdf for the speaker. Attach worksheets with Merge PDF, then compress once before you send.
